The purpose of UMC’s email distribution lists is to help faculty and staff members provide information about University business, processes, resources, services, meetings, activities and events. These lists are meant for a wide variety of audiences with diverse roles and interests within the campus community. It’s not an exaggeration to say that we all receive hundreds of emails each day. Given that context, you need to think about your messages and their frequency to be effective and to have your messages read. Well-managed use of mass email is critical to maintaining recipients' perceptions of your electronic communications.

The purpose of this document is to help you craft your email message in a way that is more effective and less likely to be ignored. An obvious general rule is that concise and accurate information is crucial. Frequent follow up email messages with corrections can weaken your credibility, and if the overall frequency is too often—so as to be perceived as annoying—subsequent messages from you will simply be ignored.
